This role ensures that all candidate information is captured accurately, organised into simple and accessible profile cards, and moved efficiently across the recruitment pipeline. The ideal candidate has strong operational discipline, exceptional organisation skills, and experience working with high-volume candidate databases. Key Responsibilities 1. Candidate Data Management & Database Oversight Build and maintain a clean, structured, and accessible candidate database. Create simple “candidate information cards” summarising key details (skills, experience, preferences, accessibility needs). Ensure timely data entry, updates, and archival of candidate information. Standardise naming, tagging, and classification of candidate profiles for easy search and retrieval. Manage bulk uploads, CV parsing tools, and ATS maintenance. 2. Pipeline Coordination & Candidate Flow Oversee candidate movement across all hiring stages (sourcing → screening → interview → placement). Track daily/weekly candidate influx and allocate priorities to the recruitment team. Flag bottlenecks and ensure no candidate is left waiting without communication. Manage candidate lists for job fairs, employer hiring days, and recruitment events. 3. Communication & Candidate Experience Serve as the primary point of communication for candidates during early-stage registration and onboarding. Provide quick, clear, and compassionate responses — especially important when supporting people of determination (PoD). Schedule screenings, interviews, testing appointments, and follow-ups. Ensure candidates receive timely updates, interview guidance, and support. 4. Operations, Reporting & Quality Assurance Set up dashboards for candidate volumes, placements, activity logs, and hiring progress. Run weekly reports on candidate influx, sourcing performance, and pipeline health. Maintain data privacy and compliance with UAE/National regulations. Implement simple SOPs for data entry, profile creation, and employer matching. 5. Internal Collaboration Work closely with recruiters, job coaches, and account managers. Provide recruiters with curated, shortlists-based, employer-ready profiles. Assist with event preparation for career fairs and inclusion projects. Required Expertise & Skills Technical / Hard Skills Experience with ATS systems (e.g., Talentera, Zimyo, Workable, Recruit CRM). Strong data organisation and spreadsheet skills (Excel/Sheets). Ability to create simple, readable candidate cards and profile summaries. Understanding of CV parsing, tagging, talent pooling, and bulk management. Familiarity with UAE hiring processes, job portals, and labour market context. Soft Skills Highly organised and detail-oriented. Strong communication and interpersonal skills. Empathy and sensitivity when working with people of determination. Problem-solving and ability to work in a fast-paced, high-volume environment. Ability to maintain confidentiality and handle sensitive candidate data. Preferred Background 3–5 years in recruitment coordination, HR operations, talent acquisition support, CRM/ATS administration, or community engagement for employment. Experience in high-volume hiring environments (recruitment agencies, staffing firms, or social enterprises). Exposure to inclusive hiring practices is a strong advantage. Bilingual (Arabic + English) preferred.
