We are looking for an organized, proactive, and professional Office Admin / Receptionist to join our team. Job Summary: The Office Admin / Receptionist will be responsible for managing daily office operations, supporting admin tasks, and providing a welcoming and efficient reception service. This role requires strong communication skills, attention to detail, and the ability to multitask in a fast-paced beauty environment. The candidate will also handle B2C order processing and coordination with clients and couriers. Key Responsibilities Reception & Front Desk: - Greet and assist visitors, clients, and partners in a professional manner. -Answer and route phone calls, WhatsApp messages, and emails promptly. -Maintain a tidy and organized reception and office area. Administrative Support: -Handle daily office tasks such as filing, printing, data entry, scanning, and document preparation. -Manage incoming and outgoing mail, deliveries, and courier arrangements. -Assist with inventory tracking for office supplies and coordinate purchasing when needed. -Support HR/admin tasks such as timesheets, staff attendance, and basic document processing. Order Processing & Client Coordination: -Process B2C online and offline orders accurately and efficiently. -Communicate with clients regarding order updates, inquiries, and delivery schedules. -Coordinate with couriers for pick-ups, delivery follow-ups, and tracking. -Ensure smooth and timely delivery of all customer orders. -Handle any order-related issues, returns, or follow-ups professionally. Company Support: -Assist in preparing presentations, reports, and product-related documents. -Coordinate meetings, appointments, and schedules. -Support the team during product launches, events, or showroom visits when required. -Maintain confidentiality with company documents and staff records. Qualifications: -Proven experience as an Office Admin, Receptionist, or similar role (preferred). -Experience in order processing or customer service is a strong advantage. -Strong communication and interpersonal skills. -Proficient in Microsoft Office (Word, Excel, Outlook). -Organized, reliable, and able to multitask efficiently. -Professional appearance and a friendly, positive attitude. -Experience in the beauty or retail industry is a plus.
