We are a luxury flower boutique known for refined service, beautiful presentation, and attention to detail. We are looking for a polished, reliable Executive Assistant to support daily operations and ensure our boutiques reflect the highest standards at all times.
This role is ideal for a woman who is organized, confident on the phone, and comfortable working closely with people—both behind the scenes and on the boutique floor.
Role Overview
You will be a key point of coordination between management, staff, external partners, and customers, helping maintain structure, elegance, and smooth day-to-day operations.
Key Responsibilities
Coordination & Communication
Liaise with accountants, PROs, suppliers, tech support, vendors, employees and other stakeholders.
Follow up on documentation, licenses, visas, and renewals with the PRO
Ensure clear and timely communication across all stakeholders
Customer Communication
Call high value customers to thank them. Also handle all customer complaints.
Provide warm, professional customer service aligned with a luxury brand
Escalate issues when necessary and ensure proper follow-up
Scheduling & Organization
Prepare and manage staff schedules for multiple boutique locations
Track attendance, leaves, and shift changes
Maintain organized records and operational trackers
Boutique Checks & Audits
Conduct random shop visits
Check cleanliness, hygiene, and overall presentation
Ensure employee grooming, uniforms, and service standards are followed
Monitor compliance with internal procedures and brand guidelines
Flower & Supply Ordering
Coordinate flower and supply ordering
Liaise with vendors and monitor deliveries
Track inventory levels and report discrepancies
Administrative & Executive Support
Prepare schedules, reports, and trackers
Use Microsoft Office (Excel, Word, Outlook) and computer systems daily
Support management with follow-ups and confidential tasks
Who We’re Looking For
Female candidates only
Previous experience in an Executive Assistant, Office Administrator, or Operations role
Arabic language is a strong plus
Confident, professional telephone manner
Strong computer skills, especially Microsoft Office
Highly organized with strong attention to detail
Comfortable visiting boutiques and working independently
Polished communication style and professional appearance
Trustworthy, discreet, and dependable
